How an all in one printer can boost your office security

When setting up an office, whether at home or on a business premises, it is essential to have the right security measures in place. Not only are offices full of expensive electronic equipment, there are inevitably sensitive business documents that need to be shielded from prying eyes. Unfortunately, businesses do not just need to be guarded from outside intruders, owners also have to be vigilant about their own staff too, especially in larger offices. There are all kinds of security measures available for the home or business office. Alarms, security cameras and other cutting edge devices all have their part to play in maintaining office security, but simpler devices such as printers and shredders are also very important. There are a surprising number of ways that a good printer can be put to use in maintaining office security, whether you have a simple home office or a dedicated security office and staff in a larger company.

In larger offices you can’t just have people walking in from the street. Any visitors should have the proper clearance and a clear security badge showing the have permission to be there. A good printer will be able to print these badges quickly and easily. Of course, clear security notices should be posted prominently around any office. These might include signs telling employees and visitors where they can or cannot go, warnings against theft, and so on. A good quality printer that can produce clear, colour signs and notices is a big plus. Printers have come a long way in recent times and they aren’t simply limited to just printing any more. A quality all in one printer should be able to print, photocopy, fax and more; and can be particularly useful for office security. Considering how much they offer in one device these are particularly good value for money, often not costing that much more than a standard printer.

It is important to note that protecting an office isn’t just about protecting the equipment; it is also about protecting the information it holds. In any office there will be sensitive documents and information that should not get into competitors’ hands. For this reason, sometimes it is best to just keep printed versions of documents that are securely stored. Storing sensitive information on computers can be risky as it can be easily spread by email and is gone if a computer is stolen. Many companies have lost valuable information on stolen laptops. If a document is particularly sensitive it can be printed and then shredded and destroyed immediately after use. How you use your printer for office security will depend very much on the systems you have in place. For example, many advanced security systems will print out daily reports on activities such as when alarms were activated and deactivated, where the security system was breached, etc. This can make for a very handy record in the case of a break-in and may go a long way towards helping to solve the crime.
